Privacy Policy

Effective Date: 15 January 2025

loxcaneriva respects your privacy and takes protecting it seriously. This policy explains what information we collect, how we use it, and what rights you have regarding your personal data.

We comply with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth) and the Australian Consumer Law. If you're outside Australia, we'll also follow relevant international privacy regulations where applicable.

Information We Collect

When you interact with our profitability analysis services, we collect different types of information depending on how you use our platform. Here's what that looks like in practice.

Personal Information You Provide

You give us certain details directly when you sign up, reach out, or use our services:

  • Name, email address, phone number, and business address
  • Company name, ABN, industry sector, and business size
  • Financial data you upload for analysis purposes
  • Payment and billing information when you purchase services
  • Communication preferences and feedback you share with us

Information We Collect Automatically

Like most websites, we gather some technical data when you visit. This helps us understand how people use our platform and where we can improve:

  • IP address, browser type, operating system, and device information
  • Pages viewed, time spent on pages, and navigation patterns
  • Referring website or source that brought you here
  • Date and time stamps of your visits and actions

Financial Data Handling

Our profitability analysis tools require access to certain financial information. We handle this data with extra care and only use it for the specific analysis you've requested. Financial data is encrypted both in transit and at rest, and we never share it with third parties without your explicit permission.

How We Use Your Information

We're transparent about why we need your data. Everything we collect serves a specific purpose related to providing and improving our services.

Service Delivery

Process your profitability analyses, generate reports, and provide the core functionality you signed up for.

Communication

Send service updates, respond to inquiries, and share relevant information about your account or analyses.

Platform Improvement

Analyze usage patterns to enhance features, fix bugs, and develop new tools that better serve your needs.

Security & Compliance

Detect fraudulent activity, prevent unauthorized access, and meet legal obligations under Australian law.

Marketing Communications

We might send you information about new features, industry insights, or educational content related to financial analysis. You can opt out anytime through the unsubscribe link in any email or by contacting us directly. We won't sell your email address or spam you with irrelevant content.

Data Sharing and Disclosure

We don't sell or rent your personal information. That's a hard rule. But there are specific situations where we share data with others to provide our services or comply with legal requirements.

Service Providers

Some trusted third parties help us run our platform. These include cloud hosting providers, payment processors, email service providers, and analytics tools. They only get access to the information needed to perform their specific function, and they're contractually required to protect your data and use it only for the purposes we specify.

Legal Requirements

We'll disclose information when required by Australian law, court order, or government request. This includes situations involving tax authorities, law enforcement investigations, or regulatory compliance. We'll notify you about such requests unless legally prohibited from doing so.

Business Transfers

If loxcaneriva is acquired by or merges with another company, your information would be transferred as part of that transaction. You'd be notified beforehand, and the new entity would be bound by this privacy policy until they provide notice of changes.

Your Privacy Rights Under Australian Law

The Australian Privacy Principles give you specific rights regarding your personal information. Here's what you can do and how to exercise these rights.

Your Right What It Means
Access Request a copy of the personal information we hold about you
Correction Ask us to fix inaccurate or incomplete information
Deletion Request deletion of your data when it's no longer needed
Opt-Out Withdraw consent for marketing or certain data processing
Complaint Lodge a complaint with us or the OAIC if you're concerned

How to Make a Request

  1. Send your request to support@loxcaneriva.com with "Privacy Request" in the subject line. Include your full name and account details so we can verify your identity.
  2. We'll acknowledge your request within 5 business days and provide a timeline for completion.
  3. Most requests are handled within 30 days. Complex requests might take longer, but we'll keep you updated.
  4. If we need additional information to verify your identity or clarify your request, we'll reach out promptly.

There's no fee for most requests. However, if your request is clearly unfounded, repetitive, or requires excessive effort, we might charge a reasonable administrative fee or decline the request.

Data Security Measures

Protecting your information is something we invest in continuously. Our security approach combines technical safeguards, organizational policies, and regular audits.

Technical Protections

We use industry-standard encryption (TLS 1.3) for data transmission and AES-256 encryption for stored financial data. Our servers are hosted in secure Australian data centers with physical access controls, redundant systems, and 24/7 monitoring. Regular penetration testing helps us identify and fix vulnerabilities before they become problems.

Access Controls

Only authorized staff with a legitimate business need can access your personal information. We use multi-factor authentication, role-based permissions, and detailed audit logs to track who accesses what and when. All employees sign confidentiality agreements and receive regular privacy training.

Incident Response

Despite our precautions, no system is completely immune to breaches. If a security incident affects your data, we'll notify you within 72 hours (as required by Australian law) and explain what happened, what information was involved, and what steps we're taking to address it.

Data Retention and Deletion

We don't keep your information longer than necessary. Retention periods depend on the type of data and legal requirements.

Standard Retention Periods

  • Account information: Retained while your account is active plus 7 years for tax purposes
  • Financial analysis data: Kept for 7 years to comply with Australian tax record requirements
  • Communication records: Stored for 3 years or until you request deletion
  • Marketing preferences: Maintained until you unsubscribe or request deletion
  • Technical logs: Deleted after 12 months unless needed for security investigations

When You Close Your Account

If you close your account, we'll delete or anonymize your personal information within 90 days, except where we're legally required to retain it. Financial data needed for tax compliance stays for the mandatory 7-year period, then gets permanently deleted. You can request a copy of your data before deletion.

International Data Transfers

Your data is primarily stored on Australian servers. However, some of our service providers operate internationally, which means your information might be transferred outside Australia.

When we transfer data internationally, we ensure adequate protection through mechanisms like Standard Contractual Clauses, binding corporate rules, or transfers to countries with adequate privacy protections as recognized by the Australian government. You can request details about specific transfers by contacting us.

Cookies and Tracking Technologies

We use cookies and similar technologies to improve your experience and analyze how people use our platform. Most browsers accept cookies automatically, but you can modify your settings to decline them if you prefer.

  • Performance cookies: Help us understand which features are popular and where users encounter problems
  • Functional cookies: Remember your preferences and settings for a better experience
  • Analytics cookies: Collect aggregated data about site usage through tools like Google Analytics

Blocking cookies might limit some functionality, but you'll still be able to access core features. Third-party analytics cookies can be controlled through your browser settings or opt-out tools provided by the analytics services themselves.

Children's Privacy

Our services aren't designed for individuals under 18. We don't knowingly collect personal information from children. If we discover we've inadvertently collected data from someone under 18, we'll delete it promptly. Parents or guardians who believe we might have information about a child should contact us immediately.

Changes to This Policy

We update this privacy policy occasionally to reflect changes in our practices, technology, legal requirements, or business operations. When we make significant changes, we'll notify you by email or through a prominent notice on our platform at least 30 days before the changes take effect.

Minor updates (like clarifying existing practices or fixing typos) won't trigger notifications, but we'll always update the "Effective Date" at the top. We encourage you to review this policy periodically, especially before providing new personal information.

Third-Party Links

Our platform might contain links to external websites or services we don't control. This privacy policy doesn't cover those third-party sites. We recommend reading their privacy policies before providing any personal information, as their practices might differ significantly from ours.
